Healthy Start CAREWare Database Updates

Thank you for your interest in or use of the Healthy Start CAREWare database. The Healthy Start TA & Support Center (TASC) will produce this newsletter quarterly to provide you with regular updates and resources related to CAREWare.

⚒ CAREWare Server Upgrades ⚒

 

Several server upgrades took place from January through March 2022

  1. Update the HSMED-II Report schema and HSMED-II Validator to match the updates implemented by the DHSPS.
  2. Fixing bugs identified in the HSMED-II Report and HSMED-II Validator.
  3. Update the HSMED-II Validator so the validation report can be filtered by the Interviewer of the data collection forms (more detail below).
  4. Update the HSMED-II Report so Warnings can be addressed by providing a WarningComment that will be saved to the corresponding HSMED-II Report (more details below)
  5. Release of the Performance Measures Report.
 

⁂ Features Highlights ⁂

 

Data Collection Forms — Updated

  • Asterisks have been added to the data collection forms to denote required questions (*) and questions required under special circumstances (**).
  • The Interviewer field in the data collection forms has been updated. It is now a ComboBox (i.e., dropdown) to improve data entry. It also now a required field before a data collection form can be saved. We will be sending more information to administrators for each Healthy Start project that is using CAREWare.

HSMED-II Report — Updated

  • The schema for the HSMED-II Report has been updated. These changes were released by the Division for Healthy Start and Perinatal Services (DHSPS) in February 2022. You can access the updated schema and implementation guides here.

HSMED-II Validator — Updated

  • The HSMED-II Validator can now be filtered by Employee (i.e., Interviewer of the Data Collection Forms). This will allow staff to regularly check their data entry for any issues.
  • For step-by-step instructions, review the updated HSMED-II Validator User Guide.

Adding WarningComments to HSMED-II Report — NEW

  • WarningComments can now be saved to HSMED-II Reports before they are downloaded. If validation rule cannot be met, Provider Administrators and Data Managers can provide WarningComments before saving the HSMED-II Report files.

Performance Measures Report — NEW

  • We are excited to release the Performance Measures Report in CAREWare! With this new feature, administrators for each Healthy Start project can run the Performance Measures Report for the reporting period of their choosing to monitor their project's progress on the Healthy Start Performance Measures.

✓ Important Reminders ✓

 

Exiting a Client

  • Per your project's definition, policies, and procedures, if a client is lost to follow-up (i.e., you have not been able to contact them and need to inactivate their case), do not update the data collections forms.
    • You only need to update the client's Enrollment Status via Demographics >> Vital Enrollment Status. Make sure to provide the Case Closed Date.
  • If a client exits the program voluntarily or because they have completed the program, please follow the instructions in the data collection forms for how to exit a client. Remember to complete the following fields: Other Update Date, Other Update Reason, Exit Date, and Exit Reason.
    • You also need to update the client's Enrollment Status via Demographics >> Vital Enrollment Status. Make sure to provide the Case Closed Date.

Responses that should not change after enrollment and the initial completion of the Data Collection Forms. If the responses to these fields are changed, Healthy Start projects will need to provide an explanation for why it has been changed when submitting monthly client-level data in EHB to HSMED-II.

  • Enrollment Date
  • Initial Completion Date of the Data Collection Form
  • Phase of Reproductive Cycle at Enrollment (Background G3)

ParentChild Q14: AgeWellVisit under 1 month of age. If the latest well-child checkup occurred before 1 month of age, input '1' for Question 14 in the ParentChild Data Collection Form.

The CAREWare Support team at TASC is available to assist Healthy Start projects in learning about and adopting CAREWare. This includes (but is not limited to) providing personalized demonstrations and trainings. Additionally, CAREWare Support can assist Healthy Start projects in customizing CAREWare by adding custom fields, forms, and reports.
